Custom Order Form – If We Don’t Have It, Let Us Create a Custom Medallion for Your Hero

We produce fully custom, raised-relief 3D medallions manufactured specifically to your approved design. Each medallion is cast in Antique Bronze, Shiny Gold Color, Chrome Color, or Pewter, enhanced with baked-on enamel where appropriate, and sealed under a heavy-duty protective clear coat engineered for long-term durability.

Please Be Specific:
Use the notes section to tell us exactly what you would like your custom medallion to look like. Describe the wording, symbols, colors, layout, background, people, objects, or other details that are important to you. The more information you provide, the better our artists can understand your vision. If clarification is needed, a member of our team will contact you by email or phone.

IMAGES — PLEASE SEND THE BEST IMAGES AVAILABLE:
The quality of the images you provide directly affects how quickly and accurately we can create your custom medallion. Please upload the clearest, largest, highest-resolution original images available. Whenever possible, send the original digital image or artwork rather than a screenshot, photocopy, scan of a printed photograph, or picture taken of another picture.

If you have a physical item that you would like us to recreate or use for inspiration — such as a badge, emblem, coin, pin, plaque, award, or other object — please take several clear, close-up photographs with your smartphone in good lighting. Photograph the item straight-on as well as from several angles so our artists can clearly see its lettering, details, shape, texture, and relief.

Poor, blurry, very small, incomplete, or low-resolution images may delay your order while we contact you for clarification or request better reference material. If a better image simply does not exist, send us the best material you have along with as much written detail as possible. Our creative department will work with you to determine what can reasonably be created from the available reference material.

Payment & Beginning Your Custom Order:
Custom Orders must be paid in full and payment successfully cleared before artwork development, engineering review, tooling preparation, or other Custom Order work begins. Once cleared payment is received, the information and reference materials submitted with your order are forwarded to our art department and your Custom Order process begins.

Production Timeline:
Manufacturing timelines begin only after your artwork and production specifications have received final written eSignature approval. Due to tooling, mold creation, casting, finishing requirements, design complexity, and mint production schedules:

• 2″–4″ medallions: approximately 12–16 weeks
• 6″–8″ medallions: approximately 3–6 months
• 12″ and larger: may require 10+ months

These are estimated production periods and may vary depending upon the complexity of your design and current mint production load. Please also allow up to one additional week after final eSignature approval for the approved order to be released into manufacturing production.

Your Custom Order Includes:
• Three (3) finished medallions for standard round 2″, 3″, and 4″ Custom Orders
• Two (2) finished medallions for standard round 6″ Custom Orders
• One (1) finished medallion for all other sizes and custom shapes

The included quantity is part of the Custom Order and does not reduce the Custom Order price if fewer medallions are needed.

Additional matching medallions may be added to the same production run at standard inventory pricing. When available, select the desired additional quantity directly from your shopping cart before checkout.

Personalized designs — including names, dates, badge numbers, ranks, personal logos, business identifiers, or similar information — are typically produced only in the quantities ordered.

Artwork Revisions:
Each paid Custom Order includes up to three (3) artwork revisions based upon the original concept submitted with the order. Additional revisions or requests that materially change the original concept may incur additional artwork fees. No additional work requiring such fees will proceed until those fees are approved and paid in full.

After the final artwork and production specifications are prepared, you will receive an electronic approval form for your review and eSignature.

Once final eSignature approval is completed, the order is locked. No artwork, quantity, or production specification changes may be made after final approval.

Intellectual Property & Licensing:
By submitting artwork, photographs, logos, insignias, seals, emblems, trademarks, or other protected materials, you represent and warrant that you own the rights or have obtained proper authorization to reproduce such material.

If we identify a potential copyright, trademark, licensing, or other intellectual property concern, we will contact you to discuss the available options. When appropriate, our artists may be able to develop an original alternative design inspired by the requested theme, concept, or purpose without reproducing the protected material.

Hero Medallions does not assume liability for unauthorized use of copyrighted, trademarked, licensed, or otherwise protected materials submitted by customers. You agree to indemnify and hold harmless Hero Medallions and its affiliates from claims arising from the unauthorized use of materials you submit.

If submitted artwork cannot legally be reproduced because of copyright, trademark, licensing, or other intellectual property restrictions, the Hero Medallions art department will make a reasonable effort to create an original alternative design that reflects the requested theme, concept, or purpose as closely as reasonably possible without reproducing the protected material. Any proposed alternative design will be presented to you for review through our normal artwork revision and eSignature approval process.

Because Custom Orders are non-refundable, our goal is to work with you toward a legally producible design whenever reasonably possible. However, Hero Medallions cannot guarantee that every requested design, logo, insignia, seal, emblem, trademark, or other protected element can be reproduced, modified, or replaced in a manner that both satisfies the customer's request and complies with applicable intellectual property restrictions.

Original alternative artwork created by Hero Medallions remains the intellectual property of Hero Medallions unless otherwise agreed in writing.

Artwork, Molds & Production Tooling:
Unless otherwise agreed in writing, artwork, masters, molds, dies, tooling, production files, specifications, and other manufacturing assets created or used to produce a Custom Order remain the property of Hero Medallions and/or its manufacturing partners. Purchase of a Custom Order does not transfer ownership of these production assets to the customer.

By completing this Custom Order and submitting payment, you acknowledge that you have read, understand, and agree to these Custom Order terms, including the Intellectual Property & Licensing provisions stated above.

Due to fluctuations in copper, tin, bronze, coatings, labor, transportation, and other production costs, Custom Order pricing is subject to change without notice prior to purchase. Once your Custom Order has been purchased and payment has cleared, the price of that order is established.

This custom medallion will be finished with a protective clear coat comparable to a fine automobile finish.

Ongoing care, including occasional waxing and gentle polishing, is recommended to help protect the coating and preserve its appearance over time. Environmental exposure without maintenance may affect the finish.
